This Privacy Policy outlines how Hobart City Mission (HCM) collects, handles and safeguards your personal information in line with the Privacy Act 1988 (Cth) and the Notifiable Data Breaches (NDB) scheme. It also outlines how you can seek access to and correct your personal information and make a privacy complaint.

Information we collect and how we use and disclose it

What information do we collect about you and how?

The kinds of personal information we may collect include your name, date of birth, contact details and, where relevant, sensitive information such as health or disability details. We collect most information directly from you but may also receive information from third parties such as other charities, or government agencies.

 

We collect, hold, use and disclose your personal information to provide services, communicate with you, apply for subsidies and grants, improve our services, and comply with legal obligations.

 

We may disclose personal information to third parties who assist us in providing services, to relevant Government agencies, or where required by law. If information is stored or disclosed overseas (e.g. via cloud storage), we take reasonable steps to ensure overseas recipients comply with Australian privacy requirements.

 

Donors, Volunteers, Contractors, Employees and Service Users

 

Depending on your relationship with HCM, we may collect the information necessary to:

 

  • Process donations and maintain supporter records,

  • Manage volunteer and employment applications

  • Deliver community and support services, and

  • Comply with legal requirements such as Working with Vulnerable People checks.

Key Privacy Protection for Donors & Supporters

To support transparency and trust, HCM follows these key privacy principles:

 

  • We only collect the information we need and keep it for as long as necessary

  • We collect information directly from you wherever possible,

  • We use your information only for appropriate purposes, such as processing donations, maintaining supporter records or communication about our work

  • You can opt out of fundraising or marketing communications at any time.

  • We take strong steps to protect your information, including secure systems and restricted access

  • Our service providers must meet privacy and security standards when handling your information

  • You can request access to or correction of your personal information at any time

  • If a serious data breach occurs, we will notify affected individuals in accordance with the NDB scheme.

Storage and Security

 

We store personal information in secure electronic and hard copy formats, including cloud-based systems which may be located overseas. We take reasonable steps to protect information from misuse, interference, loss, unauthorised access, modification, or disclosure, and destroy or de-identify information when no longer required.

Data Breach

In the event of a data breach, HCM will follow the requirements of the Notifiable Data Breaches (NDB) scheme under the Privacy Act 1988. This includes promptly assessing suspected breaches and, if eligible, notifying both affected individuals and the Office of the Australian Information Commission (OAIC).

How to access or correct your personal information

You may request access to or correct the personal information we hold about you at any time by contacting our Privacy Officer. We will respond to your request as soon as practicable.

Complaints

If you wish to make a complaint about a breach of privacy, please contact the Privacy Officer. We will investigate and respond within a reasonable timeframe (usually within 30 days). You may also contact the OAIC directly at www.oaic.gov.au
